How to Use the Calculator

You enter four values:

Target hours per hire with AI agents
The number of hours you believe is realistic once AI agents handle screening, scheduling, and onboarding logistics. In our deployments, this lands between 6 and 12 hours per hire, depending on role complexity. -
Average internal hourly cost
A blended internal rate that covers salaries, benefits, and overhead for the people involved in hiring — for example, €50/hour.
The calculator then derives:
- Cost per hire today vs. with AI agents
- Annual internal recruitment cost today vs. with AI agents
- Total hours saved per hire and per year
- Percentage reduction in internal recruitment cost
All results update instantly as you change the inputs.
What the Outputs Mean
Manual cost per hire is simply:
Manual hours per hire × internal hourly cost
If you spend 75 hours per hire at €50/hour, your internal cost per hire is €3,750 — before external costs such as job boards or background checks.
AI-assisted cost per hire applies the same formula to your target hours:
Target hours per hire with AI × internal hourly cost
If you bring that down to 8 hours per hire, the internal cost per hire drops to €400.
The calculator multiplies both figures by your annual hire volume to estimate:
- Annual manual cost — what you spend today on internal recruitment time
- Annual cost with AI agents — what you would spend if the workflow were automated as in the recruitment article
The difference between the two is your annual savings.

How to Interpret the Results
If the annual savings number looks small, it usually means one of three things:
- Your hire volume is low (1–2 hires per year)
- Your current process is already highly optimized
- Your inputs underestimate the real hours spent per hire
If it looks very large, double-check that:
- You have not mixed external costs (job boards, agencies) into the internal hourly rate
- Your hire volume is realistic
- Your manual hours per hire reflect the full workflow, not just interviews
As a rule of thumb:
- At 5+ hires per year, the savings typically justify at least a pilot
- At 10+ hires per year, the savings can fund a full AI recruitment deployment
- At 20+ hires per year, the savings become a line item in the budget
